BoardCore Prep ("we," "us," or "our") is committed to protecting your privacy. This policy explains what personal data we collect, how we use it, and your rights as a user of boardcoreprep.com. This policy is governed by the laws of the State of Texas.
1. Information We Collect
We collect the following categories of personal data when you use BoardCore Prep:
- Identifiers: Your name and email address when you request access or create an account.
- Professional information: Your role (e.g., fellow, resident, physician) and institution, if provided on the access request form.
- Usage data: Questions attempted, answer accuracy, session history, and study progress. This data is stored locally in your browser (localStorage) and is not transmitted to our servers.
- Authentication data: Login credentials managed by Netlify Identity, a third-party service. We do not store your password directly.
We do not collect sensitive personal data as defined under the TDPSA, including health data, financial account information, or precise geolocation.
2. How We Use Your Information
We use your personal data for the following purposes:
- To evaluate and process your access request.
- To grant and manage your account on the platform.
- To communicate with you about your account status or platform updates.
- To improve question quality, platform features, and the user experience.
We do not sell your personal data to third parties. We do not use your personal data for targeted advertising or for profiling that produces legal or similarly significant effects.
3. Disclosure of Your Information
We share your personal data only with the following service providers who process it on our behalf:
- Netlify: Provides hosting, form submission processing, and user authentication. (Netlify Privacy Policy)
- Anthropic: Powers the AI Coach feature via the Claude API. Your question responses and performance summary are sent to Anthropic's API to generate feedback. No directly identifiable personal information (name or email) is included in these requests. (Anthropic Privacy Policy)
We do not disclose personal data to any other third parties for their own marketing or commercial purposes.
4. Cookies and Local Storage
BoardCore Prep uses browser localStorage to store your study progress (questions attempted, scores, session count). This data lives entirely on your device and is not transmitted to any server.
Netlify Identity may set functional cookies required for authentication and session management. We do not use third-party advertising or tracking cookies.
5. Data Retention
We retain your name and email address for as long as your account is active or as needed to respond to your access request. You may request deletion of your data at any time by contacting us at contact@boardcoreprep.com. We will process your request within 45 days as required under the TDPSA.
6. Security
Access to the platform is restricted to invited users only. Authentication is handled through Netlify Identity with encrypted credentials. We implement reasonable technical and organizational measures to protect your personal data. No method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.
7. Children's Privacy
BoardCore Prep is designed for licensed physicians and medical trainees. We do not knowingly collect personal data from anyone under 18 years of age. If you believe we have inadvertently collected such data, contact us and we will delete it promptly.
8. Changes to This Policy
We may update this Privacy Policy from time to time. We will post the revised policy on this page with an updated "Last updated" date. Continued use of the platform after changes are posted constitutes your acceptance of the revised policy.
9. Your Rights Under Texas Law (TDPSA)
If you are a Texas resident, you have the following rights under the Texas Data Privacy and Security Act (Tex. Bus. & Com. Code Ch. 541):
- Right to access: You may confirm whether we process your personal data and request a copy of it.
- Right to correction: You may request that we correct inaccurate personal data we hold about you.
- Right to deletion: You may request that we delete personal data we have collected from you.
- Right to data portability: You may request a portable copy of your personal data in a commonly used format.
- Right to opt out: You may opt out of the sale of personal data, targeted advertising, or profiling in furtherance of solely automated decisions with legal or significant effects. Note: We do not currently engage in any of these activities.
To exercise any of these rights, submit your request to contact@boardcoreprep.com. We will respond within 45 days. If we are unable to fulfill your request, we will explain why. You may appeal a denial by contacting us again, and we will respond to your appeal within 60 days.
We will not discriminate against you for exercising any of these rights.
10. Governing Law
This Privacy Policy is governed by the laws of the State of Texas, without regard to its conflict of law provisions. Any disputes arising from this policy shall be resolved in the courts of the State of Texas.
